How Can You Buy The Sky?

Isn’t it ironic how enterprise driven real estate developers buy up acres of beautiful natural land, only to cut down all the trees, and level all the hills, to build a high dollar subdivision, only to term the area a “natural environment”, “back to nature” or “green living”?

I think Chief Seattle said it best when he said “How Can You Buy The Sky?”

So many people are trying to ride the “green” bandwagon, only in the name of business and making money. It is a hot trend now. How many of these people really and truly care about the environment? To have a “green subdivision” is truly an oxymoron.

However, like this article says, perhaps these green developments will pave the way for spreading a mindset of what it means to be truly a lover of the planet and the environment. Perhaps these developments will make people, who are consumed with making money, sit back and think about the world. Hopefully people will realize that being “green” is a popular buzzword and that truly preserving the beautiful land that was given to all indigenous peoples is an honor and responsibility that we all should bear.

How can you help the world? You can start by adjusting your consumables. Buy Fair Trade produce and coffee. An excellent source for coffee, if you are in Western North Carolina or Eastern Tennessee, is Tribal Grounds Coffee in Cherokee, NC. I believe you can order their coffee by phone or internet if you are not within driving range. Their coffee is Fair Trade, Organic, and grown by indigenous peoples.

If you must have a manicured lawn, why not follow better practices? Natural lawn care can help you improve the soil and resist bugs and pests, without polluting the environment.

There are also ways to reduce the energy need for heat and cooling. Following these practices and many more which you can find on the eartheasy website, can help our environment and give you the feeling of pride that you are genuinely helping the earth and sustaining our natural resources.

Migrate a static website to dynamic blog content?

This migration decision has been a hot topic amongst my fellow Virtual Assistants. I myself am making the conversion fairly soon so expect changes at Merrick Virtual Assistant Blog! Converting a static web site to a WordPress blog involves some leaps of faith

Sooner or later, you may want to incorporate a blog component into an older, static web site. Or, like me, you’ll get to thinking, “Why not combine a static site with a blog using WordPress as a Content Management System?”

As an example, I had built a community information site a few years ago and had generated some nice SERPs (Search Engine Results Pages) and page rankings for such a young site. “Wouldn’t it be great if people could interact with the information on the site by asking questions?” I pondered, imagining the traffic increase that could result from that.

After briefly considering installing a discussion forum, I opted instead to execute a conversion that would retain some of my key pages as static pages, and swap out other old pages for WP posts, with the goal of generating a sense of community via commenting.

You might be thinking Joomla or some other platform would work best for you, but I’ve been a WordPress admirer for several years, so that decision was simple.

About nine months ago, when I was still just considering the pros and cons, Dirk Riehle posted a question about the process at LinkedIn.

Before you dive in yourself, read the replies Dirk received for an overview of what to expect.

If you did take a moment to review the discussion on LinkedIn, you’ve probably already started your own pros and cons list.

Decisions to make before you make your move:

1. Which blog platform should I use?

2. How will I import old content into the new platform?

Even though I researched the process and proceeded with caution, some of the results are great and others were unexpected and unsettling. Therefore, ask yourself how comfortable you are with unpredictable and/or confusing outcomes for these questions:

1. Is it possible to preserve rankings, traffic, and links that point to the new site from my old site?

2. How will people find my new site content after the conversion is complete?

Here are the steps I followed in my own conversion:

1. Selected a WordPress theme I thought I could modify that would look fresh but familiar to those used to my static site page layout.

2. Decided to install my blog in a separate subfolder on the server where my original site lived. That way, I could recreate the pages as I had time and would be able to utilize the strength of my existing domain name.

3. Copied and pasted all page content into new posts or pages, as described above. While some advocate creating a custom php script or using RSS to import your content, and there is even a site that will purportedly help you with this task, I found cutting and pasting from the browser window was sufficient. Uploading all those photos that you may have on your old site was trickier. I recommend a WP plugin called Batch Image Upload which I found referenced on Lorelle on WordPress’s site.

4. Created htaccess codes so that site visitors (to the old, original site) AND Google’s robots would be seamlessly redirected to the new page names and locations.

5. Created a sitemap for the new version of the site and notified Google Maps of it, and requested that they index the pages via Google Webmaster Tools.

The Good and the Bad (no ugly)

1. Page Rank Decline and Traffic Loss.

From my research, I thought that 301 redirection would prevent a loss of traffic and that my existing Google Page Rank would migrate over to the new site.

After two weeks, the traffic is almost back up to where it was before the conversion, but it did drop by about half initially. However, it looks as though my PR is gone for good. Ok, it was only 4, but after two years, I was proud of that! As I read somewhere, “this is a good opportunity to work on building that back up!” Optimism is essential when working with SEO.

2. Where to Install WordPress

Had I installed all WP files in the root directory, my PR may have migrated too, since the site wouldn’t have the /blog appended to the domain name. At this point, I am getting over the PR loss blues and focusing on SERP, and the site continues to perform great in that respect.

3. Google Says I have too many Redirects?!@%%#

I’m a frequent flyer over at Google’s Webmaster tools area, which I use to alert Google to new sites I build after I create and upload sitemaps. The diagnostic tools there are very helpful. I found a big red WARNING notation there yesterday, which read:

“When we tested a sample of the URLs from your sitemap, we found that some URLs were not accessible to Googlebot because they contained too many redirects. Please change the URLs in your sitemap that redirect and replace them with the destination URL (the redirect target). All valid URLs will still be submitted.”

All I could say was AAARRRGHHHH!

Now, the redirects themselves are working, but Google’s warning has me wondering…

4. Changing the sitemap of the original site to reflect the target URLS specified in the 301 redirects.

It seems counterintuitive to have a sitemap file referencing urls which don’t exist in said directory.

However, since Google said I should, I did update that ENTIRE original site’s sitemap with links pointing to every page within the new blog. Too soon to tell if that was a good or bad idea.

5. Redirection is not the same as site indexing.

Even though the redirects you install will take your site visitors and bots to the new site seamlessly, that doesn’t mean the new site itself has been indexed. I discovered that yesterday while checking my stats and diagnostics at Google’s Webmasters Tools.

6. Quirky little home page issue.

Wordpress’s control panel will let you select a static page as the first page seen when a visitor enters your site, but then “Home” takes visitors into the blog part of the site. I haven’t tamed this quirk yet, but there are several resources below that will help you accomplish the task.

In the end, the conversion was a little more challenging than I anticipated, but I am happy with the outcome and wouldn’t hesitate to use WordPress to redesign another site. In the meantime, I am thinking of hiring someone to fix my “quirky little home page issue.” Interested? I’m just a little tired and ready to work on something else!

Are you going to purchase the new 3G iPhone?

I have a perfectly serviceable Gen1 iPhone. The Edge speed is laughable but it works and the camera is fairly good too. I am bored by the gray monotones of the iCal on the iPhone. I noticed the new iPhone iCal will have separately colored calendars.

As a Mac Virtual Assistant, I love technology and learning. I may upgrade just so I can review and recommend to my clients.

My clients often ask me about recommendations, like anti virus protection, time tracking for their employees, pdf editors, etc. I feel Virtual Assistant’s should stay on top of technology. There is a price to pay though. Namely, budget.

Will you be upgrading?

Flickr for business?

How much time should Virtual Assistant’s spend on social media?

Maybe more than we are!

Last year, if you had asked me about social media I would have said “Huh?” Ask me today and you get quite a different response.

Lifestreaming (the hour to hour documenting over the internet of your daily life) and Microblogging (140 words or less of whatever you would like to tell the cyberworld) have really taken over a good part of the day for those of us who work “virtually” and who actively network online to find new friends, business associates, clients, or just mentors. There is

and aggregators like ping.fm and Friend Feed, just to name a few. You can tell the world about what you are working on, why, for whom and where. You can meet potential clients, colleagues and just learn and increase your niche or spectrum of services based on the inspiration of others.

Howard Lindzon had a “Twitter” which I picked up, which lead me to his blog. I saw an article which described the advent of “Social Media Assistants

Howard details just one of the many reasons that someone could utilize a Virtual Assistant.

Is it possible that social networking could open up a plethora of services that we can provide to our new and future clients? Possibly, but we have to learn the ropes first. I suggest researching all you can on the services I mention above, how you can manage the feeds with aggregators, how they can be used in business, and how bringing all this together can be a deliverable that you can bring to your clients.

We also need to constantly stay on top of trends and information for blogging, SEO and Wordpress. A great place to start is I’m Blogging That.  I have become a HUGE fan of Katy’s blog. It is a must for me to read her blog whenever she has a new post. Check it out!

Put Your Inbox On a Diet, Part II!

This system is a mashup of techniques I read in the Lifehacker Book 88 Tech Tricks to Turbocharge Your Day and David Allen’s “ Getting Things Done” book, as well as my own tips and techniques.

Month folders are created in the inbox – ex: August 2007, September 2007, and October 2007.

Each processed email is dragged and dropped in its respective months folder. It immediately allows for a cleaner inbox at the onset of using this system.

Folders can be created to house messages from any mailing lists or listservs. A filter can be enabled so that these messages route directly to those folders.

Emphasis is placed on dealing with the email as soon as it comes in, and either delete, reply and file, or move to the Hold or Action folder.

At resolution, the contents of the Hold or Action folders should be dragged and dropped into their respective months folder. This will happen once you have been using this system for a while, as emails may not get immediately resolved.

Using Tasks in Outlook, Mac iCal, or  Toodledo,  any email sent to someone asking for a result, is listed as a To Do:
 ex: 
WF (waiting for) John Doe on email titled “Check Expense Account”. When John Doe replies, it is checked off of the To Do list.

You may ask how you would find older emails you are looking for. I am a strong believer in keyword searches. If you are looking for a particular email, just search by that keyword, for example.

“Hold” and “Action” folders are incorporated in this system. You (or a virtual assistant) look at your email inbox in the morning, delete the junk, you answer any ones that can be answered quickly, put in “Action” any “hot” emails that need to be dealt with in the next 1-2 days, and put in “Hold” any emails you have already dealt with that you are awaiting answers or results on. Any one of these emails can be found by a keyword search at any given time.

Note: the Action and Hold folders are not for everyone. Some individuals find it easier to keep everything in the inbox until it is deleted, done, or filed in the month folder.

After a certain amount of time is spent between end user and assistant, replies may be drafted by the assistant and left in the inbox for the end user to approve, change or delete. This has been a time saver for most but requires that the assistant have a secure and solid knowledge of the email flow. It is a goal that takes a while to achieve but is certainly a desirable endpoint for the client/Virtual Assistant relationship.

Many emails require a highly personalized reply, so when an assistant is monitoring your email, those emails may be left there for the end user to reply to.

What is somewhat easier to achieve is for the assistant to scan the incoming emails and determine if immediate action is needed. Those can be filed in the Action folder, or, if you are not employing the use of Action folders, they can be flagged in the inbox, or moved to a “READ ASAP” mail folder.

It is a good idea to cc: your assistant on any replies you make that require a response or a follow up. That way the assistant can add that to your tasks program and check it off when the reply or follow up is completed (see number 6 above).
